Media and Recording Release

Empowered Pathways uses different types of recordings and media for different purposes. This policy explains the difference between private educational session recordings and optional public promotional materials.
Private Educational Session Recordings
Virtual Empowered Pathways sessions may be recorded for:

Educational review

Missed-session support
-
Program administration
-
Safety and recordkeeping
Recordings may include a student’s name, voice, image, participation, presentation, screen name, chat contributions, or work shared during the session.
Private educational recordings may be shared through secure or private methods with enrolled families and authorized program personnel. They will not be posted publicly or used for advertising unless separate public promotional permission has been granted.
Recording Notice and Consent
Parents and legal guardians will be informed of recording practices during registration.
Students will also be informed when recording is taking place and will be required to acknowledge the recording before participating in a recorded session.
A student who does not have the required recording consent or acknowledgment may be offered an alternative participation arrangement when reasonably available. Because recording is part of the virtual cohort’s educational delivery, an alternative arrangement cannot be guaranteed in every circumstance.
Participants may not independently record, photograph, capture, download, copy, publish, or distribute virtual sessions, private replays, student presentations, chat messages, or other participants without prior written permission from Empowered Pathways and all other required permissions.
Private Recording Access
Private replay access may be provided to enrolled families for educational review and missed-session support.
Families receiving access agree to:

Keep recording links and passwords private

Use recordings only for the enrolled student’s educational review

Not download, copy, edit, publish, share, or distribute recordings

Protect the privacy of all students and families appearing in the recording
Replay access may be limited, changed, or withdrawn when reasonably necessary to protect student privacy, comply with legal requirements, or maintain program security.
Public Promotional Materials
Empowered Pathways may occasionally wish to use a student’s:

Name

Image or likeness
-
Voice
-
Photograph
-
Video
-
Presentation
-
Artwork or other original work
-
Written or recorded testimonial
Public promotional materials may appear on:

The Empowered Pathways website
-
Social media
-
Printed materials
-
Flyers and brochures
-
Presentations
-
Advertisements
-
Program announcements
-
Step Up For Students or other approved program listings
Public promotional use is optional and requires affirmative permission from the parent or legal guardian during registration.
Declining public promotional permission will not affect the student’s application, eligibility, enrollment, participation, or access to the program.
Respectful Use and Student Privacy
Empowered Pathways will make reasonable efforts to present students and their work respectfully and appropriately.
A student’s home address, personal phone number, personal email address, private registration information, health information, or other sensitive information will not be included in public promotional materials.
When appropriate, Empowered Pathways may identify a student by first name, age, general location, or program cohort only when promotional permission allows it. Additional identifying information will not be included without further permission.
Ownership of Student Work
Students retain ownership of their original work.
Granting promotional permission gives Empowered Pathways permission to photograph, record, reproduce, display, publish, and share approved student work or media for promotional and informational purposes. It does not transfer ownership of the student’s original work to Empowered Pathways.
Editing and Compensation
Approved media may be cropped, resized, captioned, edited for length, or combined with other program materials, provided the use does not materially misrepresent the student or their work.
Families understand that no payment, royalty, or other compensation will be provided for approved promotional use unless otherwise agreed in writing.
Withdrawing Promotional Permission
A parent or legal guardian may withdraw permission for future public promotional use by emailing brianne@1empowered.com.
Withdrawal will apply to future use when reasonably possible. It may not require the removal of materials that were already printed, published, distributed, scheduled, or incorporated into completed content before the request was received.
Third-Party Platforms
Recordings or approved promotional materials may be stored, processed, or shared through third-party services such as Wix, Zoom, Google services, social media platforms, file-storage providers, or other program technology.
Use of these platforms may also be governed by their respective terms and privacy policies.
